New Hire Process
New employees will receive multiple communications from Human Resources regarding their job offer and new employee paperwork. Once a verbal offer is accepted by the new employee the following occurs:
- Background Check - New hire is sent information on how to start their background check.
- STLCC Background checks are done by CastleBranch. The new employee will receive an email with instructions on how to complete the background check. The email will provide them with their “Package Code” and the link to their CastleBranch login. Once the employee completes the CastleBranch paperwork, it can take 1-10 business days to complete the background check depending on how many addresses and states the background check has to go through.
- Formal Offer Sent
- Part-time – once background check clears
- Full-time – once background check clears AND board approval
- Board approval happens weekly – refer to your recruiter for more information.
- Onboarding Paperwork Packet (I-9 Verification and payroll documents)
- Part 1 - New hires will complete the first section of their Onboarding Paperwork through Equifax

Onboarding Paperwork – Equifax
- New Employee will receive an email from Equifax including their username and password to complete this step of the onboarding process.
- Section 1 Form I9 Instructions
- Once the new employee has completed all of their online onboarding forms through Equifax, they are to proceed to I-9 verification step.
- Part 2 - Schedule an appointment with an STLCC business office to complete I-9 Section 2 with the required documents prior to start date
- I-9 Verification – STLCC Campus (in-person)
- I-9 verification will be completed at an STLCC Campus Business office (locations below) between the hours of 8 AM – 4 PM. Please call for an appointment.
- They must bring Section 2 Required Documentation to complete this step.
- New Employees are asked to please complete this prior to their first day to avoid any delay in job training and account access

- STLCC Access
- Once they complete ALL of their onboarding paperwork, allow 1-2 business days for STLCC Access.
- A# and username will be sent to the hiring manager and employee’s personal email
- New Employee Orientation – Occurs at Corporate College approx. every 2 weeks.
- New Employee Orientation is an all day program held at Corporates College. He week prior to the orientation session, the new employee will receive the email below to select their lunch order and receive important information about what to bring with them on their first day.
